Access AP Vendors
Use the Billing section to define the accounts ID and billing address.

AP Vendor Contact Information
ID- AP Vendor Account ID.
Name the Vendor Name and Name 2 if included, will print on vendor checks.
AP Contact- The name of any Accounts Payable contact at the Vendor.
Address is the street number and name. If an AP Vendor is saved without an address, it will be marked as Inactive. Once an address is supplied, select “Active” in Status and save the account.

Enter any County Name
Select the Stockholder checkbox if the vendor is a stockholder which activates the 1099 Div field on the current 1099 Tab.
Select Issue 1099 if this Vendor functions also as a producer and should be issued a 1099. If selected, verify the necessary 1099 Type is set on the Current 1099 Tab.
AP Phone is the Accounts Payable phone number.
Use the AP Fax field to enter the Accounts Payable Fax number.
TIN indicates the Taxpayer ID number, an identification number used by the IRS
Click W9 on File if the vendor has completed a Form W-9 on file.
Alternate ID will be used to enter an ID for any system this AP Vendor may connect.
Status indicates Active, Inactive or Delete.
When creating a new AP Vendor, all fields marked with are required.
AP Vendor Activity tabs
As the Accounts Payable Vendor account is used in transactions such as purchasing and paying for items, the information is saved to an Activity tab. Learn more about the information on each tab by clicking on the Activity tab title.
General- General information regarding the account.
ACH- Contains all information for paying the vendor through ACH.
Status- An accumulator for current balances.
History- AP Aging for unpaid invoices.
Checks- A listing of all checks written for this AP Vendor sorted in ascending order.
3rd Party Payee- For instances where Inventory is purchased from the vendor but the Invoice will be payable to an AP Vendor.
Transactions- Lists all transactions recorded including invoices, checks, and credit memos.
Prepaids- An amount on deposit with an AP Vendor for application towards invoices.
Source Points- Locations at the AP Vendor used particularly for Commodities.
Items- All items available for purchase from this AP Vendor are listed. This list is populated as Vendors are added to Items in Item Detail.
Current 1099- View current totals for any 1099 forms that will be used to report various types of income other than wages and salaries of at least $600 annually.
Prior Year 1099- The Prior Year 1099 displays all monies captured and reported on the prior year 1099.
e-Fulfillment- Features four sections that will be populated with credentials based on the Vendor specific requirements for e-commerce use.
Documents- This tab will appear if the DigiDocs module has being installed. Documents can be scanned then attached to the AP Vendor account.
